Storage Setup

This step involves setting up the storage structure in the system, including freezers, shelves, racks, and boxes. Here's how it works:

Freezer Setup: Assign a unique Freezer ID (soon to be called Storage ID) and set the storage temperature (e.g., -75°C).
Shelf and Rack Configuration: Create shelves and racks within the freezer to organize the storage hierarchy.
Box Addition: Add boxes (e.g., 2x2 Revco boxes with 7x7 dividers for 49 samples) to the racks.
Position Mapping: Define box positions with letter-number combinations (e.g., A4, B2) to simplify sample tracking.

Manual Sample Entry

This manual method allows you to add individual samples directly through the interface:

Navigate to the Manage Inventory section and click "Add New."
Select the Storage Location (Freezer, Shelf, Rack, Box, Position).
Enter the sample details:
- Sample ID (e.g., 1-00001)
- Type (e.g., plasma, serum)
- Quantity (e.g., 0.5 ml aliquot)
- Optional metadata like vial color (white for plasma, yellow for serum).
Save the sample to instantly update the database.

Bulk Sample Import

This method leverages bulk imports via a CSV template for faster data entry:

Download CSV Template: Use the system's export function to download a pre-formatted template.
Enter Data: Populate the template with sample details, including Sample ID, Type, Client ID, Quantity, Vial Color, and Position (e.g., Freezer A, Shelf 10, Rack 10, Box 10, Position A2).
Import File: Upload the completed CSV into the system. The software validates the data and updates the inventory, ensuring accuracy.
Example: Uploading a batch of 20 samples, such as 10-00001 to 10-00020, into sequential positions like B1 to B4.

Pull Request Creation

Pull requests allow users to retrieve specific samples efficiently:

Select the desired samples from the inventory and create a pull request with an order number.
The system highlights the exact positions of the samples (e.g., A1, A2, A3).
During retrieval:
- If you attempt to retrieve more samples than requested, the system alerts you to discrepancies.
- If a sample is missing, mark the request as “Rejected” with a reason (e.g., location empty).
After retrieval, the inventory is automatically updated to reflect the pulled samples.

Pull Request Accuracy

This section emphasizes accuracy and real-time updates during retrieval:

Before: Sample positions like A1, A2, and A3 are visible in the inventory.
After: These positions are removed post-retrieval, ensuring accurate records.
The system also provides clear visual cues and error notifications, ensuring no over-pulling or discrepancies during the process.
Users are encouraged to use a computer, tablet, or device alongside the freezer for real-time updates, making the process seamless and centralized.
